Submitting a Formal Complaint to
the Relevant Organisation
(for example, employers, schools, or healthcare institutions)
Suggested Steps
1. Review the Organisation’s Complaint Policy or Procedure

Check the organisation’s website, staff handbook, or student handbook for sections such as “Complaint Mechanism”, “Appeal Procedure”, or “Feedback and Handling Policy”.

Take note of whether there are specific forms, departments in charge, or deadlines for submission.
2. Write a Complaint Letter or Email (preferably in writing)

Describe the incident clearly, calmly, and specifically.

What happened (include dates, places, and people involved)

Why you believe the incident was inappropriate or distressing

What you hope the organisation will do in response (for example, offer an apology, conduct an investigation, or make improvements)

3. Keep a Record

Send your letter by email or registered mail.

Keep a copy of what you sent, along with any proof of delivery and responses received.
4. Follow Up and Response

If the organisation does not respond within a reasonable timeframe (for example, 14 or 30 days), you may send a follow up message.
